PURPOSE OF THE PROJECT

The project is part of the research on sustainable green food consumption conducted at RIC Pro-Akademia (hereafter RIC) and partners from Norway and Poland, in a project funded by Norway Grants and Polish state budget through National Centre for Research and Development, the project name: “SmartFood: Engaging citizens in food diversity in cities”. We will ask you general questions about food consumption and environmental behaviors.

Who is responsible for the research project?

This particular study is organized and conducted by RIC Pro-Akademia.

The joint controllers of your pseudo-anonymized personal data are the Partners of the Scientific Consortium implementing the SmartFood project:

  1. Research and Innovation Centre Pro-Akademia, with its registered office in Konstantynów Łódzki, at 9/11 Innowacyjna Street, 95-050 Konstantynów Łódzki, Poland – Project Promoter, which is a designated contact point for data subjects (in accordance with Article 26(1) of the GDPR);
  2. The Tadeusz Kościuszko Cracow University of Technology, with its registered office in Krakow, at 24 Warszawska Street, 31-155 Krakow, Poland;
  3. The Maria Grzegorzewska University, based in Warsaw, at 40 Szczęśliwicka Street, 02-353 Warsaw, Poland;
  4. Norwegian Air Research Institute (NILU – Norsk institutt for luftforskning), based in Kjeller, Instituttveien 18, 2007 Kjeller, Norway;
  5. Western Norway Research Institute (WNRI – Vestlandsforsking), based in Sogndal, 4 Royrgata Street, 6856 Sogndal, Norway;

Why are you being asked to participate?

The aim of the study is to investigate how year-round, sustainable, and safe food production in the corridors of urban apartment blocks can contribute to increasing healthy eating habits, reducing dependence on food retail, reducing food waste, strengthening social ties in urban blocks and reducing greenhouse gas emissions from food production and transportation.

We want to better understand:

1) the needs, attitudes and barriers that affect the decisions of residents of multi-family buildings to produce their own fresh food in a block (compared to buying it in a store);

2) the impact of the implementation of SmartFood solutions on grocery shopping, food consumption and its waste by residents.

WHAT DOES PARTICIPATION INVOLVE FOR YOU?

If you agree to participate in this research, you will be asked to complete the following research tasks:

  1. testing of the hydroponic SmartFood Cabin placed in the common area of your building, including in particular:
b. testing of the SmartFood Water, i.e. a rainwater acquisition and treatment installation placed in the common area of the building; c. testing of SmartFood App on your mobile device, including in particular: i. checking the operation of the application interface; ii. responding to notifications provided by the Project Promoter through the app; b. filling in the following information in the SmartFood Diary (via the SmartFood App or otherwise made available by the Project Promoter): i. information on grocery purchases made by household members – once a week ii. information on food consumed by household members over 5 years of age – once a month iii. information on food waste generated in the household (expired, spoiled, stale food, etc.) – once a month iv. information about contacts with neighbors – once a month v. information on the weight and type of plants collected – once a month vi. information about the experience and observations gathered as well as the level of satisfaction with participation in the Project – once a month c. participation in interviews and surveys carried out as part of the Project's scientific research (carried out via the SmartFood App, in person, by phone or remotely), including in particular participation in four max. 150-minute interviews regarding participation in the Project and consumption and production of food and integration with neighbors; d. immediately informing the Project Promoter in the event of any technical or organizational problems during participation in the Project, but no later than within 2 days from the date of their occurrence.

Participation is voluntary

Participation in the project is voluntary. If you choose to participate, you can withdraw your consent at any time without giving a reason. All information about you will then be made anonymous. There will be no negative consequences for you if you choose not to participate or later decide to withdraw. Each participation step however entail payment, so you will forfeit payments for the tasks after you decide to withdraw.

Your personal privacy – how we will store and use your personal data

We will use your personal data for the purpose(s) specified in this information letter. We will process your personal data confidentially and in accordance with data protection legislation (the General Data Protection Regulation and Personal Data Act).

Responsible persons who will have access to your personal data:
The collected data will be stored and accessed via Project-related Institutions' clouds – One Drive (faculty folder), which are securely encrypted and avoid unauthorized access. By these protocols, participants' personal information will be secured, and no identifiable information get published that can cause participants to be identified.

The pseudo-anonymized form of your data (data that does not contain personally identifiable information because the original ID link will be recorded by researchers at partner institutions, but kept by RIC in the archive above until the end of project) will be shared with joint project partners. Note that the project partners will not be able to link the information to you personally and their only interest in the data is related to the analysis of aggregated data across different data collection samples (which your data is one of).

What will happen to your personal data at the end of the research project? The project is scheduled to end on April 30, 2024. At the end of the project, collected data will be stored in an anonymous form. Specifically, the identification key will be deleted along with any other identifiable information.

Your rights

So long as you can be identified in the collected data, you have the right to: - access the personal data that is being processed about you - request that your personal data is deleted - request that incorrect personal data about you is corrected/rectified - receive a copy of your personal data (data portability), and - send a complaint to the Data Protection Officer or The Norwegian Data Protection Authority or the Polish Personal Data Protection Office regarding the processing of your personal data

What gives us the right to process your personal data? We will process your personal data based on your consent.

Based on an agreement with Handelshøyskolen BI (BI Oslo / Institutt for markedsføring), Data Protection Services in Norway (NSD) has assessed that the processing of personal data in this project is in accordance with data protection legislation.
